2. Principle
We process personal data only to the extent necessary for the operation of the website, the community, and the members-only area, or if you have given your consent. We do not sell personal data and do not use advertising or tracking networks.
3. Legal Basis
We process personal data in accordance with the revised Swiss Data Protection Act (revDSG). To the extent that the EU General Data Protection Regulation (GDPR) applies, we base our processing on the following legal grounds:
- Contract or pre-contractual measures (Art. 6(1)(b) GDPR): membership, trial period, member area, and responding to your inquiries.
- Legitimate interest (Art. 6(1)(f) of the GDPR): ensuring the secure and stable operation of the website and preventing misuse.
- Consent (Art. 6(1)(a) of the GDPR): optional services that are activated only after you give your consent via the Cookie Manager.
4. When visiting the website
When you visit the website, your browser transmits technically necessary data to our hosting provider (IP address, date and time, page accessed, browser type). These server logs are used to ensure secure and stable operation and to prevent misuse, and are stored only for a short period of time.
5. Members' Area and Login
Access to the members-only area is password-free and is granted via a one-time login link (Magic Link) that we send to your email address. In doing so, we process your email address and a technically necessary session cookie that maintains your login. Without this cookie, you cannot log in.
6. Membership Administration
For membership and the trial period, we process the data you provide (e.g., name, email address, membership and access status). This data is stored in our membership database and used exclusively to manage your membership and communicate with you.
7. Forms and Contact Information
When you use a form (e.g., our contact form, the registration for Swiss AI Landscape, the submission of an event, or the registration for the test phase), we process the data you provide in order to handle your request. Depending on the form, this includes, in particular, your company name or first and last name, email address, city and canton, website, and any free-text comments you provide. We will use this information to notify the appropriate department within the association and get in touch with you. We will send a reply to the email address you provided.
8. Cookies and Consent
We only use optional services after you have given your consent via our Cookie Manager. You can choose your preferences for each category and change your selections at any time. We distinguish between:
- Required (always active): Technically necessary for login, session management, and security. No consent required.
- Functional: Additional features such as website translation (Weglot). These are loaded only after you give your consent.
- Statistics and Marketing: Set up, but not currently in use. These would also be activated only after you give your consent.

9. Services Used (Contractors)
To operate the website, we use carefully selected service providers who process personal data only on our behalf and in accordance with our instructions:
- Hosting: Railway (website and database operations), servers located in the EU.
- Email Delivery: Resend (sending login links and notifications), USA.
- Member Database: Notion (management of member and registration data), USA.
- Translation (optional, functional):Weglot. This will only load if you agree to the "Functional" category.
10. Disclosure Abroad
Some of the service providers mentioned process data outside of Switzerland, including in the EU or the United States. Data is transferred only if adequate data protection is ensured, for example through recognized standard contractual clauses or comparable safeguards.
11. Storage
We retain personal data only for as long as is necessary for the respective purpose or to comply with legal obligations:
- Server logs: only retained for a short period of time to prevent misuse.
- Session cookie: up to 14 days or until you log out.
- Member and registration data: for the duration of the membership or trial period, and thereafter for as long as required by statutory retention obligations.
- Contact and form inquiries: until your request has been fully processed.
The data is then deleted or anonymized.
12. Your Rights
Under applicable law, you have the right to access, correct, delete, and restrict the processing of your personal data, as well as the right to data portability and the right to object. You may withdraw any consent you have given at any time, effective for the future. To do so, please contact human@swissai.ch or use our contact form.
You also have the right to file a complaint with a supervisory authority: in Switzerland, with the Federal Data Protection and Information Commissioner (FDPIC); for data subjects in the EU, with the competent data protection authority in your country of residence.
13. Changes
We may update this Privacy Policy if there are changes to our data processing practices or the applicable legal basis. The version published on this page at any given time is the authoritative one.
